General Description:
The Project Manager (PM) Medical Excellence and Operations will support the operational needs of the Europe Regional Medical Affairs team as well as its systems, tools, and other operational initiatives. The project manager will support planning and execution of Medical Affairs initiatives. This includes coordinating and overseeing cross-functional project teams, organizing meetings and agendas, managing vendors, overseeing scientific event management including activities such as contracts and budgets, monitoring project progress and deliverables, and optimizing processes to ensure smooth integration into overall Medical Affairs services and operations. Project delivery is expected across the portfolio, including Hemato-Oncology and Solid Tumors / Immune Oncology.
Essential Functions of the job:
Working cross-functionally to manage the planning, budgeting, and coordination of logistics related to medical congresses, scientific meetings, advisory boards, and other medical affairs projects under the supervision of the respective business owner.
- Ensuring coordination, submission, and documentation of scientific/non-promotional materials for the European Medical Review Committee Process.
- Supporting the Medical Excellence team in the extraction and reporting of performance metrics, KPIs, medical insight reports, system trainings, etc.
- Supporting the communication and dissemination of medical education/training materials for internal and external stakeholders.
- Serving key external stakeholders, such as medical societies, consultants, healthcare providers, healthcare professional societies, patient advocacy groups, timely and professionally.
- Maintaining accurate and up-to-date project documentation, including project charters, status reports, and meeting minutes. Regular assessment of progress and reporting.
- Supporting timely and accurate budget submissions and financial spend tracking. Providing budget reports, analyses and presentation to stakeholders.
- Supports business owners in ensuring that all projects comply with relevant regulatory and compliance standards.
- Managing and overseeing systems, including SharePoint and Teams spaces.
- Managing vendor relations/engagements.
- Works to the highest compliance, legal and ethical standards.
Supervisory Responsibilities:
- Vendor administration.
Qualification Required:
- Minimum of 2 years experience within the pharmaceutical industry, preferably in Medical Affairs.
- Proven track record in aspects of project coordination, incl. planning, contracting, setup, execution, as well as budget management. Ability to manage projects and internal stakeholders in the successful implementation of business-critical projects.
- Experience working with external vendors for medical communication deliverables.
- Must possess a detailed and proactive approach to problem-solving of daily operations.
- Excellent time management skills for working within a fast-paced environment. High level of conscientiousness, diligence and structured working style. Able to critically evaluate situations and adapt quickly in making timely and independent decisions.
- Strong sense of accountability for assigned projects and responsibilities.
- Cultural awareness while working across regions with internal or external team members.
- Excellent interpersonal skills, verbal and written communication, listening and organizational skills.
Computer Skills:
High-level expectations for project management software, Microsoft Office, Teams, SharePoint, Power BI, and SmartSheet.
Other Qualifications:
Fluency in spoken and written English is required. Other European languages (German, French, and Spanish) are an advantage.
Travel:
Up to 20%, including attendance at project-associated meetings, congresses, medical affairs team meetings, and vendor meetings, all based on business need.
