Your Role

As our Receptionist, you will be the first point of contact for visitors and colleagues, ensuring a warm welcome and providing efficient support to facilitate smooth daily operations. Your key responsibilities will include:

  • Supporting the Executive members (25%)
  • Working closely with the Office Manager to build a quality environment, and well-being
  • Ensuring the Geneva office is always presentable and operational (follow up repairs, prepare meetings rooms, etc)
  • Liaising with external service providers (e.g., electrician, cleaning staff, technical maintenance, DHL)
  • Overseeing deliveries and office supplies, including orders and inventory management
  • Monitoring and recording petty cash payments
  • Supporting the onboarding of newcomers and providing an office tour
  • Planning and organizing social events and afterwork gatherings
  • Organizing and coordinating both internal and external meetings
  • Acting as back-up of Executive Assistants during absences
  • Manage errands and purchases for the Executive Board, including organizing and handling Christmas gifts, birthday gifts, and other required items
  • Booking train tickets for Geneva and Pully offices and back-up our international travel Specialist
  • Managing incoming and outgoing phone calls
  • Interfacing with the IT department for all equipment requests
  • Managing diverse tasks (business cards, etc.)

Your profile

  • Proven experience (minimum 12 years) in Front Office or Reception within a high-end environment. Previous experience in the hospitality sector is a strong asset
  • University degree or CFC in Commercial Business (or equivalent)
  • Fluent in French and English; German would be a plus
  • Impeccable presentation, discreet and confidentiality are a must
  • Someone creative who likes organizing events
  • Reliable, proactive, and a strong team player
  • Warm personality with excellent interpersonal and communication skills
  • Competent in Microsoft Office Suite
  • Ability to multitask and remain effective under pressure
