The Role
As a Legal Assistant, you will contribute to the effective functioning of the legal department by assisting with managing company documentation and performing various administrative corporate and legal support tasks. Previous legal assistant experience is not required—we are looking for someone with a strong interest in the legal field and a passion for learning. If you have a sharp eye for detail, an instinct for organization, and thrive in a fast-paced environment, we want to hear from you.
Key responsibilities
- Assist with corporate secretarial documentation for Frontiers: collecting signatures, scanning and saving documents and distributing documents as required.
- Support with the submission of official documents, gather relevant information, and coordinate notarization with guidance and advice from the legal team.
- Assist with signing, collecting, storing and archiving contracts.
- Organize and manage digital and manual signatures when necessary.
- Offer administrative support to the legal team, including managing external advisers, travel arrangements, and various administrative tasks (e.g. document formatting, subscription maintenance, invoice management, and mail monitoring).
- Assist with the legal team's internal homepages.
- Maintain the legal team meeting calendar and take meeting notes when necessary.
Requirements
- Strong computer skills, including proficiency with MS Word, Excel, PowerPoint, Adobe, and a high degree of digital literacy.
- Strong verbal and written communication abilities.
- Fluent in English and French, both spoken and written.
- Able to manage several tasks and priorities in a dynamic, fast-paced environment.
- Proactive attitude with a focus on solving issues.
- Exhibits sound and reliable judgment.
