For the expansion of our team, argenx is looking for an Executive Administrative & Event Support Coordinator to support 2 executives and the regional event team.
PURPOSE OF THE FUNCTION
The Executive Administrative & Event Support Coordinator plays a dual role in delivering high-level executive support and ensuring the seamless planning and execution of regional events. This position requires a proactive, detail-oriented individual who thrives in a fast-paced, cross-functional environment and can manage multiple priorities with discretion and professionalism
ROLES AND RESPONSIBILITIES
Executive Administrative Support
- Manage complex calendars, travel arrangements, and expense reporting for senior executives.
- Coordinate internal and external meetings, including agenda preparation, logistics, and follow-up.
- Serve as a liaison between executives and internal/external stakeholders.
- Support and coordinate projects for the VPs and head of functions as required
- Work closely with other Management assistants of argenx
- Maintain confidentiality and handle sensitive information with discretion.
Event Coordination & Support
- Support the planning and execution of regional events, such as congresses and internal meetings, together with the Event Manager and Congress manager and under the supervision of the Regional event head
Operational & Process Support
- Manage vendor & PR/PO creation and distribution
- Coordinate contracting and purchase order processes in collaboration with Legal and Finance.
- Manage all incoming invoices in collaboration with AP
HR Support
- Coordinate with HR for material order and delivery for new hires within supported communities
- Plan and manage the onboarding process for new hires, including new accesses, updating distribution list
- Main point of contact for HR support in country
SKILLS AND COMPETENCIES
- Excellent organizational skills and ability to prioritize as well as being highly flexible
- Project management skills
- Ability to take initiative, being proactive
- Excellent oral and written communication skills
- Driven to work collaboratively and cross-functionally
- High level of professionalism, discretion and confidentiality
- Proficiency in MS Office, Oracle is a plus
- A creative mind with an ability to suggest improvements
- Ability to work collaboratively and effectively together within cross-functional teams and networks
- Is agile and demonstrates adaptability, comfort with ambiguity, trust-building, and resilience
- Derives energy from operating in a dynamic, complex, fast-moving, and frequently changing business environment

EDUCATION, EXPERIENCE
- Minimum of 3 year of proven experience in executive support and/or event coordination, preferably in a healthcare or multinational environment.
- Experience in operating role
OTHER
- Occasional travel required
- Partially remote – 1 day per week on-site in Zurich.
