Office Assistant & Event Coordinator (m/f/d)
based in Zug (80-100%)
Key responsibilities of this position
Office related
- Administrative support to the General Manager / Commercial Director, including calendar management, travel coordination and expense reporting
- General office support for the EMEAI Headquarters in Zug and selected additional support of the office in Schwalbach, Germany including management of site stock and procurement processes
- Travel coordination and Expense reporting (Concur system)
- Ordering of Business Cards for EMEAI and focal point for all Credit Card related questions
- Support in the implementation and monitoring of process improvements
- Organization of group events
- Generation of Purchasing Requisitions and change requests within SAP for the offices in Zug and Schwalbach
- Preparation of documents for DocuSign, Vendor Coding, Outline Agreements etc.
- Independent oversight and execution of small-scale projects aligned with leadership initiatives, ensuring timely execution.
- Training and First Aid coordinator for the Zug Office
- Independently prioritizes tasks and initiates actions, especially in time-sensitive situations.
Event related
- Prepare and execute events and support decision making including control of the schedule, goals, tasks and list of participants
- Press releases / coordination of event promotion in print or social media (with Communications)
- Monitors event budgets and identifies deviations from expenses, previous years or planned budgets. Coordination with purchasing on vendor negotiations for the events
- On-site management during set-up and dismantling including focal point during the event
- Organize and facilitate follow up meetings after an event, including reviews of the events, their impact / outcome and meeting notes
What we expect:
- Vocational degree required, Business Administration preferred
- Fluent in German and very good English (written and spoken), additional languages are an asset
- Used to work with different systems (SAP, DocuSign or similar)
- Advanced computer skills (MS-Office, especially Excel) combined with the ability and willingness to learn new tools is key
- Excellent time management skills and ability to prioritize work
- High attention to details and accuracy
- Ability to effectively work in a global organization, across functions and across cultures
- Ability to communicate with a wide variety of people (from senior leaders to colleagues as well as to external stakeholders) and cultures while upholding a high level of integrity, ethics and trustworthiness
