The role
Are you someone who enjoys bringing clarity and structure to collaborative work? As a Bid & Proposal Specialist at Zühlke, you’ll play a key role in shaping winning proposals - coordinating people, content, and timelines to help us secure exciting new projects. How you'll make an impact
Coordinate and support all stages of the bid process, ensuring timelines and deliverables are met.
Facilitate bid ceremonies such as kick-off meetings, opportunity assessments, storyline workshops, approvals, and retrospectives.
Collaborate with sales and delivery teams across multiple EMEA countries.
Help opportunity owners develop clear win strategies and support the creation of compelling proposal content, ensuring alignment with client needs and Zühlke’s strengths.
Maintain and improve tools, templates, and shared resources, while actively contributing to knowledge management by curating and maintaining reusable content, best practices, and reference materials.
Drive knowledge transfer by providing opportunity owners with training materials and guidance on the bid management process.
Ensure documentation is complete and compliant with internal standards and policies.
Contribute to continuous process improvement by conducting retrospectives, capturing lessons learned and best practices.
What is important to us
2–4 years of experience in a structured, deadline-driven environment (e.g. bid management, project coordination, consulting, sales support, marketing operations)
Strong understanding of B2B sales or project environments
Ability to manage multiple stakeholders, work collaboratively, and keep projects on track
Excellent organisational skills and the ability to communicate clearly and concisely - both in writing and in person
Proactive, detail-oriented mindset with a hands-on attitude
Comfortable taking ownership of tasks and driving them forward independently
Strong interest in tools and technology, with hands-on experience using AI tools to enhance productivity or workflows
Bachelor’s degree in Business, Sales, Communications, or a related field - we also welcome candidates with equivalent experience and a strong track record in similar roles
Fluency in English and German
